Solutions Comptabilité Solera Inc., based in Laval, Québec, protects the personal information entrusted to it through its services and client portal.

Person in charge of personal information

Information we collect

We collect your first and last name, phone number, mailing address (street and number, unit if applicable, city, province, postal code and country), email address and details needed to sign in through Clerk. Our public forms collect your first name, email, optional phone number, area of interest, form page and language, and your separate choice about email updates. IP addresses and basic technical information help protect the site against abuse. We also process client-uploaded financial records. We use only essential cookies; the frequency of the invitation to contact us is stored locally on your device.

Why we use it

We use this information to respond to form inquiries, provide services, secure accounts and meet legal obligations. Joining our mailing list is optional: the consent box is unchecked by default, is independent of access to any checklist, and your address must be confirmed before updates are sent. Portal service emails (invitations and file notifications) are separate from optional news.

Who can access it

Access to client files is restricted to authorized Solera staff and client users linked to the specific client file. Clients can access only the documents in files to which they have been granted access.

Service providers

Some providers may process information, including outside Québec: Clerk for sign-in and account security; Replit / Google Cloud for hosting and file storage; the document malware-scanning provider; Resend for portal emails and, with consent, newsletter emails; Microsoft 365 for business communications; QuickBooks Online (Intuit) for bookkeeping and invoicing; ADP for payroll; and tax software (e.g. UFile). Tax filings are sent to authorities when needed. Solera assesses these providers and uses contractual and technical safeguards.

Retention and destruction

We keep public form inquiries and contact details only as long as needed to respond and follow up, then delete or anonymize them when no longer useful, subject to legal duties. Records of consent and unsubscribing are retained to respect your choices and our obligations. Client records are kept under tax-law requirements (generally at least six years), then securely destroyed.

Your rights

You may request access to or correction of your information, withdraw consent, request data portability or ask us to delete your information by contacting the person in charge above. Every newsletter includes a one-click unsubscribe link; withdrawing does not affect necessary service emails. Legal retention obligations may limit immediate deletion. You may also complain to the Commission d’accès à l’information du Québec.

Closing your account

You can ask to close your client portal account and delete your information by emailing hana.r@soleraaccounting.ca. We will confirm your request, close the account, and delete or anonymize your information except records we are legally required to keep (such as tax records). Those records will be securely destroyed once the applicable retention period ends.

Security measures

We protect information with encrypted connections, access controls and malware scanning of uploaded files.
